Job Purpose
The position holder will be in charge of providing logistical, asset, and event management support for project activities.
Technical:
- Manage the filing, storage and security of documents
- To ensure that appropriate contract agreements for the office and accommodation are drawn up & signed.
- Maintaining proper record of documents issued or received till the final receipt of goods and final payments to suppliers.
- Ability to obtain all of the supplier\'s products, check them all, and review the invoices that require payment.
- Support in dealing various matters regarding insurance of vehicles, building and Assets.
- Identify the accommodations and services, as well as the procuring and installation of all project-related components, and oversee these processes.
- To be familiar with and abide by the other NGO’s International procedures.
Operational:
- Assistance with the upkeep of hard records, such as field trips, meeting minutes, distribution records, and other records of purchases and the handing over of assets.
- Check vendors and suppliers prior enrolling in any operations.
- With command of effectively filing documents and formats in accordance with specified standards
- For field activities at the Country office, plan and manage the logistical assistance.
- Ensure availability office supplies and consumables.
- Coordinate with suppliers and transport agents to ensure goods are received in the correct quantity and in good condition
- To ensure that logistics work in the field location is carried out in coordination with logistics and other field locations.
- Close coordination with line manager for effective implementation of project activities.
- Making domestic provisions for operating teams, such as refurbishing accommodation and arranging for other domestic needs including traveling.
- Timely reporting and handling of maintenance and repair of all office equipment’s, building and furniture, fixtures, vehicles.
- Supervision of support staff and admin department
- Ensuring proper travel arrangements for all staff and guests between different offices
- Supervision of arrangements of seminars, conferences and interviews.
- Supply and deliver equipment and materials to required destinations in an efficient and cost effective manner
Organizational:
- Ensure compliance with IR’s policies & procedures in true spirit for effective delivery of services to communities.
- In depth understanding of IR values and their demonstration in the field while working with communities.
- Abide by the IR zero tolerance policy towards bribery & corruption through sensitization / empowerment of communities on coping mechanism so that they can raise voice as & when feel inappropriate.
- Thorough knowledge of IR strategic priorities to ensure effective implementation with future sustainability.
- Assist in identification & documentation of organizational successes for show casing IR work
- Facilitate communities in adaptation of environment friendly & cost effective approaches to meet their current as well as future needs with specific attention to climate change.
- Focused efforts to be made for mainstreaming of marginalized groups i.e. Persons with disability and old age, minorities, Women & children etc in consultation & implementation of project activities at ground.
- Strengthen mechanism to Influence the decision makers through communities to pay attention towards DRR planning, give voice to suffering and the excluded, highlighting the protection needs of people.
- Participation and facilitation in implementation of IR seasonal programmes & emergency response.
