Job Description: |
The Operational Officer is responsible for ensuring the smooth and efficient day-to-day operations of the travel agency. This includes coordinating travel bookings, liaising with clients and suppliers, managing logistics, and supporting service delivery to ensure client satisfaction and operational excellence.
Key Responsibilities:
- Coordinate and manage travel bookings including flights, hotels, tours, transfers, and visas.
- Liaise with travel partners (e.g. airlines, hotels, tour operators) to confirm arrangements and resolve issues.
- Monitor ongoing trips to ensure smooth execution and address any client concerns or last-minute changes.
- Maintain accurate records of bookings, invoices, and operational expenses.
- Support the sales team by preparing itineraries, quotes, and travel documents.
- Ensure compliance with company policies, travel regulations, and customer service standards.
- Handle operational emergencies such as cancellations, delays, or itinerary changes.
- Assist in preparing reports related to operations and customer feedback.
- Contribute to improving operational processes and client satisfaction.
Requirements:
- Bachelor's degree
- Proven experience in a travel agency or tour operator role (1-3 years).
- Strong organizational and time-management skills.
- Excellent communication and problem-solving abilities.
- Ability to multitask and work under pressure in a fast-paced environment.
- High attention to detail and commitment to customer service.
Desirable Skills:
- Knowledge of international travel regulations and visa procedures.
- Proficiency in Microsoft Office (Excel, Word, Outlook).
- Foreign language proficiency (optional but advantageous).
- Experience with CRM or travel management software.
Working Conditions:
- Full-time position (may include weekend or after-hours support during peak travel times).
- Office-based with occasional remote work or site inspections.
